General Conditions

While every effort is made to adhere to the specifics mentioned in our brochure and customized itineraries, changes may be required at times. Therefore, all prices, itineraries, and other pertinent information are those in effect at time of printing, and are subject to change without notice. Five Stars of Scandinavia, Inc. and their partners reserve the right to cancel escorted tours up to 4 weeks prior to departure.

All fares are quoted in U.S. dollars and are listed per person, based on double occupancy. Fares do not include other land arrangements or services unless otherwise stated, nor do they include items of personal nature, such as laundry costs, liquor, beer, wine, and shore excursions. Verbal quotations will not be honored. Where prices are quoted in USD, the amount is based on the exchange rate and VAT tax and may be subject to change if exchange rates fluctuate or VAT tax levels are increased. All fares are subject to change without notice.

A non-refundable fee of $50 is required to receive a quotation on a customized itinerary. This amount will be credited toward the required deposit for the booking. A written request with specific places and dates must be submitted. Our prices come to us as a package quote and cannot be broken up. Please note that we do have a three night minimum requirement for all bookings. We reserve the right to re-invoice your reservation should an error be made in computing your package price.

Reservation and Payments:
A minimum of 10 business days is required for all reservation requests. A $200* per person deposit is required at the time of booking to obtain confirmed reservations. Once reservations are under deposit, all deposits are non-refundable. Final payment is due 60 days prior to departure. Reservations made within 60 days of departure are subject to express mail and additional handling fees. It is necessary that Five Stars of Scandinavia, Inc. be informed of your exact departure date at the time of booking. Travel documents are sent by Priority Mail (U.S.P.S.), Express mail charges are at the client’s expense.

Service Fee/Change fees:
A non-refundable handling fee of $25 will be added to all bookings.
Any change to the original reservation after booking has been confirmed is subject to a $50 per person change fee, plus any additional charges levied by hotels or other suppliers. 10 business days or less no changes can be made. Please note: If client chooses to make changes to tour packages while in Scandinavia there will be NO REFUNDS for unused portions and/or unused vouchers.

Form of Payment:
Checks, Money Orders, American Express, VISA, MasterCard and Discover are accepted as form of payment.

A $25 return check fee for insufficient funds. 

Cancellation and Refunds:
Cancellation fees are accessed as a percentage of the total tour price. All cancellations must be in writing and will be cancelled on the date of which the cancellation request has been received. Per person cancellation fees are as follows: If the tour package price is less than $ 200 per person, a $50 cancellation fee applies more than 60 days prior. 60 - 30 business days prior to departure, 25% of total cost; 30 - 7 business days prior to departure, 50% of total cost plus any additional charges levied by hotels or other suppliers. No refund will be made for cancellation less than 7 business days prior to departure, no shows, and cancellation while tour is in progress or for any unused portion of the trip. All airline tickets, rail, cruise and ferry tickets are non-refundable.

Request for refund must be made in writing to Five Stars of Scandinavia, Inc. within 30 days of completion of tour, or no refund can be made. Please allow 4-6 weeks to process your claim.

Travel Insurance:
Trip cancellation insurance, which is available through our office, is strongly recommended. Please ask for application form or see our website for a link to Access America.

Passports and Visas:
U.S. citizens must be in possession of a valid passport when traveling in Europe, with an expiration date of at least 6 months after scheduled departure from Europe. Visas: Visas are not required for U.S. citizens entering Scandinavia. Tours to Russia will require a visa. If a visa is denied for any reason, cancellation fees will apply. 
Each passenger is responsible for obtaining necessary documents.

Travel Agents Responsibility: 
The travel agent is responsible for providing information to you, verifying all documents and information, and ensuring you understand all of the policies, fees, and requirements you are subject to. General Conditions must be signed and received by Five Stars of Scandinavia, Inc. in conjunction with deposit. Documents will not be sent without the signed conditions.

Information contained in this brochure is not an offer or a contract. Five Stars of Scandinavia, Inc. and/or their agents declare all tickets, vouchers, and coupons issued by them and all arrangements for transport, accommodations made by them, are made by them upon the express conditions that they shall not be liable for any injury, damage, loss, accident, delay or irregularity which may occur either by reason of defect in any vehicle or through the act of default of any company or person engaged in conveying the passenger or carrying out the arrangements of the tour, or otherwise in connection therewith or of any hotel proprietor or employee. Five Stars of Scandinavia, Inc. and/or their agents can accept no responsibility for losses or accidental expenses due to delay or changes in schedules, defaults, or over-booking by hotels, sickness, weather, strikes, war, quarantine or other causes. All such losses or expenses will have to be borne by the passenger. Baggage and small articles (coats etc.) are at the owner's risk throughout the tour unless insured. The right is retained to decline, accept or retain any person as member of the tour or to cancel or alter the tour. Five Stars of Scandinavia, Inc. and other companies whose services are featured in the tours are not responsible for any act, omission or event during the time passengers are not on board their conveyance. The passenger contract in use by the companies when issued, shall constitute the sole contract between the companies and the purchaser. 
Each passenger agrees not to hold Five Stars of Scandinavia, Inc., its owners, agents or representatives liable, in the absence of its own negligence, for any loss, injury, expense or damage which results directly or indirectly from any act or omission, whether negligent or otherwise, or any person or firm which provides any goods or services in connection with the trip or any available option. Without limiting the foregoing, Five Stars of Scandinavia, Inc. shall have no liability to the passengers for the quality of services and the condition of cleanliness at the hotel or housing facility, or for any transportation delay, including but not limited to liability for inconvenience, shortened vacation time, additional expense, or any other kind of damage. 

Five Stars of Scandinavia, Inc. is not liable for printing errors on our website, in brochure or itineraries.
